Easily Convert Prospects to Members
The Visual ClubMate System allows you to easily convert Prospects to Members with just a single mouse-click.  All information captured for the Prospect record is automatically transferred to the Member database and deleted from the Prospect database. Prospect records can also be transferred to existing membership accounts.

Capture Digital Images and Print ID Badges
Visual ClubMate allows you to capture digital images directly from any video source including TWAIN-compliant digital cameras or S-video output from video cameras with TWAIN-compliant capture hardware.  It also allows you to copy digital images directly into the member record.  Whether or not you decide to implement the video imaging capability, it's just one mouse-click to print bar-coded ID badges.

Manage Individual, Corporate and Family Accounts
The Visual ClubMate System allows you to manage all different types of accounts and have one screen in which you can view vital account information as well as identify and access all members associated with an account.

Manage Member Access to the Club
The Visual ClubMate System allows you to place restrictions on when Members can enter your club.  Each membership type can be given day and time restrictions which the Check-In system checks before allowing entry into your club.   Additional checks include a member's status, the account status as well as membership expiration dates.

Restrict Member's Guest Privileges
The membership system allows you to restrict the maximum number of guest visits allowed by the club during a defined period according to membership type.

Keep Important Demographic and Psychographic Information
In addition to the member's name, address and phone information you can maintain a variety of demographic information including gender, marital status, date-of-birth and employment information.  Additionally, you can maintain a record of a member's interests including recreation interests, goals and current club memberships.

Maintain Contact History With All Members
All contact with a member can be recorded in the database.   This includes writing a record for all mail-merged letters as well as a record of individual mailings.  This system also allows you to create to do lists for your membership reps so that you don't forget to contact members at the right time!

Send Messages To Members
Keep in touch with your members and send them internal email messages which pop-up at check-in when using Visual ClubMate's Attended Check-In System.   Messages are stored in the member's record and are flagged when read and can be reviewed at any time.  External email can also be sent to a specific member or in a mass-emailing to groups of members based on any user-defined criteria.

Keep Vital Medical Information Readily Available
The medical information tab keeps you informed in case of emergency.  Here you can record emergency contact information, medical information such as allergies, current medications and medical history (all vital for properly managing fitness programs at health and wellness clubs), primary physician contact and Insurance providers. This information can also be used to develop marketing and wellness programs in conjunction with corporations, insurance providers and HMOs.

Customize Data
The Visual ClubMate System provides a user with four user-definable tables in which to store information specific to your club operation.
