Managing Tee Time Reservations with
software from Aspen Information Systems
Unlike our 16-bit Booking System and most booking systems on the market today, we have
decided to offer users reservation systems that address the specific requirements of the
item being booked. In this case, we have the Tee Time Scheduling System. The
system features a variety of views which include a daily, weekly and monthly summary of
reservations. All reservations are color coded and display the name(s) of the person(s)
reserving the tee time. (This module is presently in development).
Quick Bookings
From the
main screen, a user can double-click on any available course and tee time and make a quick
booking. When making a reservation, the user can charge the reservation to a
member's account, process a POS transaction, rent equipment or apply a prepaid session.
Right-click Support
From the
main screen, a user can also right-click and have the following booking functions
available: Check-In, Cancel, Confirm, Book Waitlist, Quick Booking, Edit, Course Blocking,
Go To Date and Find a Member. A user can also call up the main reservation screen.
Course Setup
A club
can setup a variety of courses to be available for booking and each course can be defined
by tee time increments, minimum and maximum capacities, inventory item to use for billing,
schedule of availability and associated cancellation fees. Additionally, the user
can easily define each course (by name and location at the club) as well as block the
course for specific times when it should not be made available. The system will
automatically inform the user if a blocking conflict exists.
Set Booking Privileges For
Membership Types
Specific
booking rights can be established for different types of memberships including the number
of days a member is allowed to book in advance, whether recurring bookings are allowed and
the number of recurring bookings allowed. Additionally, a reservation fee can be
associated with the booking based on the number of days in advance that it is made.
Search For Available Times
The
Reservation Screen allows you to easily process calls as they come in. Select the
course, date, time and length of booking a customer desires, and Visual ClubMate will
automatically identify tee times that meet that criteria. If no tee times are
available that match the selected criteria, the agent can search for additional tee time
availability. Furthermore, recurring bookings can be processed from this screen, and
any conflicts will be reported immediately.
